Pipedrive is now the engine behind the sales process, with Automations as the key driver. The agency has three Pipedrive seats, giving everyone the visibility they need. For reporting, the CRM’s Insights data powers dashboards built in Airtable via Zapier. CEO Keenan Beavis and the executive team now have the clarity they’ve been seeking, thanks to clearly represented pipeline value, monthly deal flow, conversion timelines and lead sources.

The use of Smart Docs enables significant efficiency gains as well. Automatically populated agreements and e-signatures indicate when documents have been viewed, providing timely follow-up when email firewalls block delivery. On the communications side, new leads sync automatically to Mailchimp, removing manual list updates, while email templates and structured messaging help maintain a consistent brand voice – vital for an agency offering the same to its clients.

With Smart Docs, we can see when someone has seen an agreement that we’ve sent over. Pipedrive has that safety net in place. And thanks to Mailchimp sync, we’ve standardized our communication style. We help people look great and get seen, so having all of our brand messaging protected in templates lets us all sound unified.
We’ve added fields for attribution so we know which campaign a lead came from, and we also track their Longhouse anniversary for partner outreach so we can celebrate them. We also tag each lead’s industry, which helps us decide which case studies to write next and which industries to focus on strategically. We can even track how long it takes for leads to convert from a lead to a call and then to a deal.
