As our Senior Executive Assistant, you will provide high-level support to the CEO and the Office of the CEO, ensuring the seamless execution of their daily priorities, internal operations, and external engagements. In this pivotal role, you will also lead and mentor a team of three Executive Assistants, establishing best-in-class standards for executive support across the organization. Your leadership will enable leaders to focus on driving Pipedrive’s strategic objectives, while ensuring the Executive Office operates with precision, discretion, and professionalism.

This position reports directly to the VP of Communications & Workplace Operations.

Your new adventure:

  • Provide direct executive support and advice to the Office of the CEO, including complex diary and inbox management, meeting preparation, travel coordination, and follow-up actions
  • Lead and line manage the team of three Executive Assistants, setting standards, developing capability, and ensuring consistent, high-quality support to leaders across the business
  • Act as a central coordination point for the Office of the CEO, prioritising requests, managing information flow, and ensuring alignment with strategic priorities
  • Where needed, assist in preparing briefing materials, presentations, and reports for the Office of the CEO, working closely with senior stakeholders across the company
  • Represent the CEO’s office in interactions with senior internal and external stakeholders, exercising the highest levels of discretion and diplomacy
  • Proactively identify opportunities to improve executive support processes, tools, and workflows
  • Partner closely with the Communications & Workplace Operations function to ensure seamless delivery of key initiatives, events, and communications
  • Support board meeting preparation and governance requirements, including collation of materials and logistics where needed
  • Handle sensitive and confidential information with integrity and discretion at all times
  • Undertake ad hoc projects and initiatives as required by the CEO and VP of Communications and Workplace Operations

Does this sound like you?

  • Around 6+ years of relevant experience in executive support or similar roles, demonstrating progressive responsibility and impact
  • Expert-level knowledge of executive support practices, including diary, travel, and stakeholder management at C-suite level
  • Strong skills in written and verbal communication, document preparation, and information management
  • Proficiency in productivity tools (Google Workspace, project management tools, expense systems, etc.)
  • Experience managing and coaching administrative professionals, fostering growth and operational excellence 
  • Ability to navigate sensitive, complex, and often confidential situations with tact and professionalism
  • Experience in events management and engagement (in support of Comms & Events)
