The Executive Assistant provides high-quality administrative and operational support to senior leaders at Pipedrive, ensuring their day-to-day activities run smoothly and efficiently. Reporting to the Senior Executive Assistant, the role contributes to the effective functioning of the Executive Office by managing diaries, coordinating meetings and travel, preparing documentation, and facilitating clear information flow. The position requires sound judgement, excellent organisational skills, and the ability to maintain confidentiality at all times.
The role upholds the standards set by the Senior Executive Assistant and plays a key part in delivering consistent, professional executive support across the organisation.
Your new adventure:
- Provide day-to-day administrative support to assigned senior leaders, including diary and inbox management, meeting coordination, and prioritisation of commitments
- Manage domestic and international travel arrangements, preparing itineraries, logistics, and supporting documentation as required
- Prepare meeting materials, agendas, presentations, and briefing notes, ensuring leaders are fully equipped for internal and external engagements
- Build strong working relationships across teams to ensure effective scheduling, decisions, and communication
- Follow up on agreed actions, tracking progress and ensuring timely completion
- Handle sensitive and confidential information with professionalism and discretion
- Support the Senior Executive Assistant in maintaining smooth operations within the Executive Office, including information flow, request triage, and alignment with organisational priorities
- Coordinate logistics for key internal events, meetings, and workshops, in collaboration with the Communications & Workplace Operations teams
- Support the preparation of board-related materials and documentation where relevant
- Contribute to process improvements by adopting consistent tools, templates, and workflows defined by the Senior Executive Assistant
Does this sound like you?
- Bachelor’s degree (or equivalent experience) preferred but not essential
- Experience supporting C-suite executives in fast-paced, global organisations
- Strong understanding of executive support practices, including diary, travel, and stakeholder management
- Strong organisational skills with meticulous attention to detail
- Great communication and interpersonal skills, with the ability to advise and build relationships at the highest levels
- Skilled in communication, document preparation, and maintaining accurate information
- Ability to work with multiple stakeholders across time zones in a fast-paced environment
- A proactive, solutions-focused mindset, and high adaptability to change
- Proficiency in Google Workspace and standard productivity tools
- Proven ability to handle highly confidential information with discretion
- Experience supporting events or leadership engagements is an advantage

Salary Range (NYC): $95,000 – $115,000 base salary per year.
This range represents the good-faith estimate of the base salary range for this role based in New York City. Actual compensation will be determined based on skills and experience. This role is also eligible for an annual bonus based on company and personal performance.
The employee must be authorized to work in the US without company sponsorship.
